Wärtsilä Global Logistics Services & Supply Management (WGLS & SM) oversees the entire logistics chain for the majority of Wärtsilä Spare Parts, from order intake to customer delivery. Our team plays a crucial role in enabling sales by maximising spare parts availability, ensuring on-time delivery, and promptly responding to our Marine and Energy customers’ requests for quotations.
We are currently seeking a Key User, GD Development to join our skilled team within Global Distribution in WGLS Parts Delivery. This role is offered on a permanent contract basis, with the preferred location being Vaasa, Finland. However, we are also open to candidates based in Kampen, Netherlands. In line with our hybrid work model, you will have the flexibility to work partially remotely.
What will you be doing?
In WGLS Parts Delivery, our main goal is to provide our customers with high-quality logistics services, cost-efficiently and on-time. As a Key User, you will play a crucial role in ensuring that our ways of working, systems, and procedures are of the highest standard and continuously improved to ensure high customer satisfaction. You will be coaching and supporting team members while being part of our exciting and international work environment. Although the role requires a high level of independence, you will not be working alone. You will have great support from colleagues and experts within our organisation. Additionally, you will play an important role in ensuring our active participation in cross-functional projects.
Key responsibilities:
Process Development & System Improvements
- Issue Resolution and Guidance: Address daily issues in the spare parts flow and provide guidance to Delivery Coordinators within Global Distribution and other stakeholders. Identify problems, determine root causes, resolve issues, or ensure they are resolved by the appropriate parties.
- Process and System Development: Engage in activities aimed at continuously developing and enhancing our processes and systems.
- User Validation Testing: Participate in User Validation Testing (UVT) for SAP and other systems to ensure their effectiveness and reliability.
- Cross-Functional Collaboration: Participate in cross-functional workshops focused on developing new processes.
Continuous Improvement
- Process Enhancement: Continuously strive to improve our processes to ensure customer satisfaction and eliminate waste.
- System Monitoring and Troubleshooting: Proactively monitor system issues and seek prompt solutions to ensure smooth operations through automated systems (such as SAP) related to transportation, customs/VAT, and documentation.
- Customer Satisfaction: Ensure on-time delivery in accordance with order specifications, including delivery date, cost, and quality, to maintain high levels of customer satisfaction.
- Non-Conformity Management: Respond swiftly to non-conformities by identifying the root cause, informing the responsible party, or resolving the issue immediately when possible, or by engaging relevant experts/stakeholders.
Coaching & Support
- Training and Coaching: Provide training and coaching to colleagues within Global Distribution and key stakeholders.
- Change Management: Lead change management initiatives related to the adoption of new tools and processes.
- Proactive Issue Resolution: Address issues, propose proactive solutions, and co-create processes with relevant stakeholders.
- Process Documentation: Continuously create and review process instructions to ensure clarity and effectiveness.
The below will enable you to succeed in this role:
- Educational Background: BSc in Business Administration, Logistics, International Business, or a related field.
- Experience: Preferably 3 – 5 years of experience within Global Distribution, Logistics & Supply Chain, or in similar roles.
- Technical Knowledge: Deep knowledge of Global Delivery processes, SAP, and other related systems.
- Analytical Skills: Excellent analytical skills and high attention to detail.
- Language Proficiency: Excellent command of English, both written and spoken.
- Ownership and Accountability: Strong ownership and accountability over various processes.
- Industry Knowledge: In-depth knowledge of Incoterms, logistics, and transportation.
- Communication and Teamwork: Excellent communication, cooperation, and teamwork skills.
- Problem-Solving: Excellent problem-solving skills.
- Flexibility: Flexible approach to work; open and willing to adapt to change and act as a driver for change.
- Additional Skills: Experience with RPA (Robotics Process Automation) is advantageous.
